Administrative Assistant for Inventory/Data Entry-Support Division

The Administrative Assistant facilitates the efficient operation of the assigned duties of the Support Division by performing a variety of clerical and administrative tasks. A self-motivated person with a positive attitude will be responsible for performing accounting and clerical tasks related to the efficient maintenance and processing of invoices and parts inventory. Must maintain a high level of work ethics and integrity with shop personal, operational personal, and management.

Main Job Tasks and Responsibilities:

  • Review and enter invoices and parts inventory
  • Entry of Support Division timecards.
  • Billing inventory to the appropriate work order.
  • Billing fuel to appropriate equipment.
  • Processing and coding invoices and documents.
  • Prepare an analysis of accounts.
  • Assist with inventory stockouts and reconciliations.
  • Produce reports as requested.
  • Produce monthly reports.
  • Resolve invoice discrepancies.
  • Retrieves information as requested from records, emails, minutes, and other related documents; prepares written data summaries when needed.
  • Performs other related duties as assigned.

Education and Experience:

  • Ability to work independently.
  • Processing equipment and inventory invoices.
  • Shop parts and fuel stockout experience.
  • Proficient in data entry and management.
  • Microsoft Suite knowledge and proficiency.
  • Three to five years of experience in an administrative role.
  • Associates degree required, Bachelor's degree in related field preferred.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
  • Maintain confidentiality and good judgment.
  • Problem-solving skills and a critical thinker.

Must possess a current valid driver's license and pass pre-employment drug testing.
